Subject: Transitioning to New HOA Management Platform - PayHOA
Dear West Winds HOA Members,
The HOA Board is pleased to announce an exciting change in our association’s technology & management solutions. Based on results and feedback, and after careful review and consideration, we are transitioning to PayHOA, a modern online HOA management platform designed to enhance our community's management, communication, and payment systems.

Transition: Effective immediately, the HOA will no longer continue to use Denali Property Management (MyPropertyBilling.com) for HOA management.

Payments: All online payments made after December 2, 2024, should be made using the HOA’s new online management platform, PayHOA. If paying by check, homeowners must send payments per the HOA’s newly updated payment instructions.

Look Out for Communication: Additional updates and information will be emailed and posted on our website at www.westwindshoabozeman.org.

Emails from PayHOA: Keep an eye out for emails being sent by West Winds HOA using the PayHOA platform. The FROM address will read: West Winds HOA <mailer@payhoa.com>. PRO TIP: Add PayHOA.com and westwindsHOAbozeman.org to your list of safe senders in your email account to avoid important West Winds emails being routed to spam or junk folders.

Detailed INstructions
Effectively Immediately - as of December 2, 2024
West Winds HOA no longer uses Denali Property Management (MyPropertyBilling.com) and has switched to using PayHOA.com as our designated HOA Management Solution.
What does that mean to you?
First, current lot/property owners and managers should:
1) Immediately discontinue any recurring payments (Credit Card, ACH, etc.) you’re sending or have created using the Denali Property Management (MyPropertyBilling.com) online Resident Portal. As of December 31, 2024, this online service will no longer be accessible or processing payments for West Winds HOA.
2) Please immediately stop sending payments by check to Denali Property Management (MyPropertyBilling) with lockbox payment address: PO 62014, Phoenix, AZ 85082-2024. As of December 31, 2024, payments will no longer be accepted or processed at this address.
NOTE: Any payments already mailed or processed online recently with MyPropertyBilling.com will be accounted for and updated in your new PayHOA account by or before January 15, 2025.
Second, let's get you set up and ready to start using the new PayHOA platform:
Watch for Account Activation Email
For Current West Winds HOA members who have provided the HOA with valid emails, the HOA will email you an account activation link.
This email will come from West Winds HOA (<mailer@payhoa.com>) with a url link to easily confirm member information and set up your PayHOA account.

For NEW or previously inactive West Winds lot owners, owners who did not provide the HOA with an email, or property managers wishing to set up a new account or register with a different email to manage a property, you can go to:

1) Check MEMO field must include: UNIT# or Property Address
3) Include the Payment Remittance Slip in the envelope with your check if you are mailing it yourself. If payment is made using bank bill-pay (eCheck) services, no remittance slip inclusion is required.
2) Mail ONE (1) check per unit/property address
* DO NOT combine payments for multiple properties into one check.
* Pay each property separately.
3) Mail to HOA's bank-provided lockbox payment address (above)
4) Allow at least 15 days for RECEIPT of USPS-mailed checks
NOTE: Check Payments must be RECEIVED by the due date to avoid late fees.

When are payments due?HOA assessments are billed quarterly, and due on the first (1st) day of each quarter (January 1, April 1, July 1, October 1). Payments are deemed late if not received by the first (1st) of the month in which they are due. Late fees may be assessed if not RECEIVED in a timely manner. Learn more about the HOA's Late Payment Policies. NOTE: Please allow up to 15 days for HOA receipt of USPS-mailed checks. Payments not received in a timely manner are subject to late fees. The HOA is not responsible for USPS delivery delays.

Can I pay my dues annually instead of quarterly?Yes, you may pre-pay more than the current balance due at any time, IF PAYING BY CHECK. If pre-paid, credits on your account are applied to future invoices.

Will I be sent invoices?Yes. By default, quarterly-billed HOA invoices are sent by email. Monthly statements, late fees, interest, and payment reminders are also sent monthly by email if you have an outstanding balance on your account. NOTE: Owners may also opt to have invoices and statements mailed for an additional fee by submitting a request to the HOA using the PayHOA platform. Why are there no HOA documents in PayHOA yet? (as of 12/2/2024)The Board is actively working to download HOA documents shared on MyPropertyBilling.com's online resident portal (our discontinued HOA Management platform as of 12/31/2024) and uploading them to the HOA's new management platform, PayHOA. This will take some time. In the meantime, you can still access shared HOA documents in the MyPropertyBilling Online Resident Portal through 12/31/2024.

I have tried to log in to my account, but the login screen, after I submit my credentials, just continues to say "logging in." What do I do?Check your computer/device's time clock and make sure it matches your association's timezone! This is a security feature. Once you fix your time clock, refresh your browser five times and try logging in again. If you still see the same results, email support@payhoa.com, and the PayHOA team can investigate!
